Syncing Confirmed Bookings with Google Calendar
Calendar sync is not a convenience feature. In the current beta, it keeps confirmed, rescheduled, and cancelled service work mirrored into the operator's Google Calendar.
Confirmed bookings should write back to the calendar with enough operational detail.
Personal event details should stay private from customers.
Busy-read filtering is a future boundary, not part of the current beta.
Use one operational calendar
Solo operators often live out of Google Calendar. If confirmed service work does not land there, the operator has to reconcile the booking system and the day plan manually.
The current beta writes confirmed, rescheduled, and cancelled bookings into Google Calendar. It does not yet read busy events back into public availability.
What should sync into the calendar
A confirmed booking should write enough detail for the operator to work without opening three tools. That usually means customer name, service, arrival address, contact method, deposit state, and any critical intake notes.
Private customer information should still be handled carefully. The calendar event is operational context, not a place to dump every field collected during booking.
- Service name and expected duration.
- Address or meeting location.
- Customer contact details required for day-of coordination.
- Deposit or payment status where relevant.
- Critical access notes such as gate code needed or parking constraint.
Avoid sync ambiguity
Ambiguous sync creates support work. The operator should know whether changing a calendar event updates the booking, whether deleting an event cancels it, and what happens when a calendar conflict appears after confirmation.
Those rules need to be explicit in the product. A silent mismatch between calendar state and booking state is worse than no sync.
Frequently asked questions
- Will customers see my personal event titles?
- They should not. Customer-facing availability should only show that a time is unavailable, not why it is unavailable.
- Should I keep using Google Calendar after adding booking software?
- Yes, if it remains your daily schedule view. The booking system should respect it and write confirmed work into it.
